Facilities Administrative Assistant


The Facilities Administrative Assistant is responsible for ensuring that the front desk reception area is operating smoothly and efficiently.  The Facilities Administrative Assistant will greet visitors, employees, clients and other guests professionally.

  • Greet and check-in visitors and candidates, notify appropriate personnel of visitors, assist in minimizing visitor wait time while following building security procedures
  • Distribute, sort and forward incoming corporate emails and mail
  • Report facility related issues and place appropriate signage when necessary
  • Handle day-to-day administrative tasks and serve as administrative/shipping shift back-up
  • Address and complete task tickets in reasonable time frame
  • Assist with building access card maintenance
  • Maintain office supply/snack inventory and reorder when required
  • Help track department expenses for location
  • Assist with company event planning and other special projects as necessary
  • Update department Intranet space
  • Participate in emergency training and organize related procedures
  • Bring a smile and a great attitude to the office, every day!

Skills and  Experience:

  • 1-3 years of experience in an Administrative Assistant or equivalent role
  • Can sit or be in one place for extended periods of time
  • Computer proficiency with intermediate knowledge of MS Office Suite (Word, Excel, PowerPoint)
  • Entrepreneurial spirit and desire for consistent improvement
  • Self-driven with a willingness to learn and take on additional responsibilities as needed
  • Professional and motivated self-starter
  • Adaptable to change and possesses the ability to wear many hats
  • Calm demeanor with a “Can Do” attitude
  • Excellent written and verbal communication skills
  • Detail oriented with exceptional time management and prioritization skills
